Manage orders

The orders list shows every order your store receives, whatever its source: your online store, your store app, Zid POS, marketplaces, the order API or orders you create yourself. Open it from Orders > All orders in the sidebar.

From this page you can find orders by status, search and filter them, change their status and payment status, print documents, export them to a file and import orders from a spreadsheet.

A staff member needs permission to view orders to open this page, and permission to edit orders to open an order's details. Creating, importing, exporting, printing and changing statuses each need their own permission. Store owners have all of them. See Staff groups.

  1. Select the columns button next to the search box.

  2. In Customize column, check the columns you want and uncheck the rest, or check All columns.

Change an order's status from the list

Select the status in the Status column and choose the new status. Some changes ask for more information first: moving an order that needs shipping to Ready asks for the pickup address and the number of boxes, and cancelling asks you to confirm. The list only offers the changes allowed from the order's current status. For the full rules, see Order statuses.

To change the payment status, select it in the Payment status column. You can only change it for cash on delivery, cash on pick-up, bank transfer and manual payment orders. Choosing Paid asks you to confirm.

Select the checkboxes of the orders you want, or the checkbox in the header to select the whole page, then select Actions.

Change the status of several orders

  1. Select the orders, then select Actions > Change order status.

The Change order status dialog for several selected orders
Sample data from a demo store.
  2. Choose the new status and select Save.

  3. If the new status is Ready and any selected order needs shipping, choose the address the shipping company collects from in Select your address to receive orders and enter the Number of boxes in the shipment, then select Save. A location whose place on the map isn't set can't be used; the dialog links to its page so you can set it.

Changes to several orders run in the background. A message tells you when they finish, or that the status could not be changed for some of the orders.

Schedule a pickup for several shipments

  1. Select the orders, then select Actions > Schedule a pickup time to collect shipment.

  2. In Periods for receiving orders, choose a period in Select the appropriate period for receiving orders: First period - Today from 8am to 1pm, Second period - Today from 2pm to 6pm or Not now.

  3. Check the list under Orders that need a receiving date and select Save.

Duplicate orders

Select the orders, then select Actions > Duplicate order. Zid copies each order into a new manual order. If you duplicated one order, its draft opens so you can review and confirm it. If you duplicated several, the manual orders list opens. Zid warns you about anything it could not copy, such as a deleted product, an out-of-stock product, a deleted customer or a payment or shipping method that is no longer active.

Export orders

  1. Select the more menu (⋮) at the top of the page, then Export orders.

The Export orders dialog with its four export options and the Export button
Sample data from a demo store.
  2. Choose what to export:

    OptionWhat you getLimit
All ordersOne row per order30,000 orders
All orders (detailed orders report)Orders with their products and more detail20,000 orders
Products salesSales per product for the statuses you check: Preparing, Ready, In delivery and CompletedPage filters do not apply
All orders (preparation list)A picking list for preparing orders15,000 orders
  3. If filters are applied to the list, keep Apply current filters checked to export only the filtered orders, or uncheck it to export everything.

  4. Select Export.

Zid prepares the file in the background and takes you to Export requests, where you download it when it is ready. If an option goes over its limit, it is disabled until you narrow your filters.

To export the orders of one status, one period or one shipping method, filter the list first and keep Apply current filters checked. To export only some orders, select them in the list and use the export actions under Actions.

The preparation list is a short spreadsheet with only the columns your team needs to pick and pack. Its custom_options column holds the options customers filled in for products with customization fields.

All orders and the detailed report need a plan that includes order exports, and Products sales needs a plan that includes product sales reports. The preparation list is available on every plan.

Import orders

  1. Select Import orders at the top of the page.

  2. Under Download template, select Download to get the spreadsheet template.

  3. Fill one order per row and save the file as .xlsx or .csv.

  4. Under Upload file, select Upload and choose your file.

  5. Select Import.

The import runs in the background. When it finishes, the new orders appear in the list. If some rows fail, the dialog lists each failed row with its error so you can fix the file and import those rows again.

Importing orders needs permission to create orders.

When the list is empty

A new store sees Your orders will show here with a button to create your first order. When a search or filter matches nothing, you see No results found: select Clear all filters to start over, or Create order to add one manually.

In stores registered as charities, orders are called donations. The page is named Donations, only the All, New, Completed and Cancelled tabs appear, and the Shipping column is hidden.
