Warehouses and inventory locations

An inventory location is any place you keep stock: a warehouse, a branch, a shop or a fulfilment partner. Shipping companies collect your orders from the location you choose, and you can let customers pick up their orders from a location. You manage your locations in Products > Inventory, on the Inventory addresses page.

How multi-location inventory works

  • Each location has its own stock. A product has a separate quantity in every location it's stocked in. You set these quantities on the product page, or for many products at once in Stock management.

  • Each location serves the sales channels you choose. Under Sales channels you tick the channels the location serves, such as your online store, Zid POS and connected marketplaces.

  • One location is the default. The location marked Default is the one stock is withdrawn from when no other location is specified.

  • Withdrawal priority decides which location fulfils an order. Zid assigns orders to the location at the top of your withdrawal priority list first. If one location can't fulfil the whole order, the order is split across several locations, but the shipping label is issued from one location only.

  • You choose the shipping location when the order is ready. When you move an order that needs shipping to Ready, the dashboard asks you to select the location the shipping company collects from and the number of boxes in the shipment, then you confirm. The shipping company goes to that location. A location whose place on the map isn't set can't be used until you set it. See Issue a shipping label.

  • Stock moves between locations through transfer requests. Use Stock transfer requests to move stock by hand, or Auto restock to create requests on a schedule.

  • Every change is recorded. Orders, adjustments, imports, transfers and counts appear in Stock history.

Some stores assign each order to the closest location. In these stores, every location has a Radial delivery zone, the list shows a Delivery zone column, and the order's shipping address is selected for you when you mark it Ready.

Open your inventory locations

  1. In the sidebar, open Products.

  2. Click Inventory.

The page title is Inventory addresses. Under it, the dashboard shows how many active locations you have and how many your plan allows, for example "The number of active locations currently in your package is 3 out of 5 available for activation".

The page has two buttons at the top:

Add a location

  1. On the Inventory addresses page, click Create.

  2. Enter the location's name in Arabic, English or both.

  3. Choose the Country and City, then fill in the rest of the address.

  4. Under Sales channels, tick the channels this location serves.

  5. Click the location on the map. The Coordinates field fills in with the address of the point you clicked. You can also paste a Google Maps link, or the latitude and longitude separated by a comma, into Coordinates; the pin moves there when you leave the field.

  6. Click Save.

Save stays disabled until the pin marks the location's real place. While it doesn't, an alert under the map says Your inventory location is not set correctly. Move the pin to the exact inventory location before saving. For a location in Saudi Arabia, Save also stays disabled until you enter the Short National Address. Hover over Save to see what's missing.

A new location is saved inactive. To start using it, turn on its Status switch in the list. See Activate or deactivate a location.

Find your short national address

The short national address is a code of four letters and four digits that stands for an address registered in the Saudi National Address, run by Saudi Post (SPL). You get it from SPL, outside Zid:

  1. Select Find your address here under Short National Address. It opens the National Address page on the SPL website.

  2. Sign in to the National Address service on the SPL website or app, and find the address of this location. If the location isn't registered yet, register it there first.

  3. Copy its short address and enter it in Short National Address.

Enter the short address of the place this location ships from, because shipping within Saudi Arabia relies on it.

Activate or deactivate a location

Turn the Status switch in the list on or off.

  • Activating counts against the number of active locations your plan allows. If you've reached the limit, the dashboard offers an upgrade instead.

  • Deactivating a location that still holds stock opens the Deactivate The Inventory dialog. Choose another location under Address name to transfer the products to, then click Submit. You can't choose the location you're deactivating.

Only active locations appear when you choose a location in stock management, stock taking, transfer requests and auto restock.

Set the default location

  1. Open an active location.

  2. Turn on Set as a default inventory.

  3. Click Save.

The location gets the Default badge in the list. If you try this on an inactive location, the dashboard reminds you to activate it first.

Edit a location

Click a location's name or Edit to open its page. The page has the same fields as a new location, plus these actions at the top:

  • Save: saves your changes.

  • Stock management: opens Stock management with this location selected.

  • ⋮ > Inventory stock changes: opens this location's stock history.

  • ⋮ > Delete: deletes the location. It appears only when the location is inactive.

The same rules apply when you save: if the location's pin was never set, move it to the location's real place, and for a location in Saudi Arabia enter its Short National Address.

If you leave the page with unsaved changes, the dashboard asks you to confirm.

Supporting shipping options

Active locations show the Supporting shipping options for shipping and storage card. It lists your active shipping methods (store pickup isn't included) and, under each method, its shipping zones.

  • Turn on a zone's switch to link it to this location. Turn it off to unlink it. The change saves right away.

  • Expand a zone to see its Supported countries and Supported cities.

  • Click Customize under a method to open its settings.

Changes here are reflected on the Shipping methods page. See Shipping methods.

Pickup in store

The Pickup in store card lets customers collect orders from this location.

  • With no pickup option yet, the card says "You haven't added any pickup options yet." Click Add new option to create one. In the dialog, enter the option name in Arabic and English, choose the Inventory, add optional Customer notes, turn on Cash on delivery (COD) if you accept it, and click Add option.

Sample data from a demo store.
  • With one option, the card shows its name and city, whether Cash on delivery (COD) is Supported or Not supported, and the Customer notes. Use Edit, Disable or Activate, and Delete to manage it.

  • With several options, each one has a switch to activate or disable it, plus Edit and Delete.

See Local delivery and store pickup.

Store pickup is part of selected plans. If your plan doesn't include it, Add new option and Activate offer an upgrade instead.

Delete a location

  1. Turn off the location's Status switch.

  2. Open the location.

  3. Click ⋮ > Delete, then confirm.

Show products based on the customer's city

The Display products in your store based on the customer location card at the top of the Inventory addresses page shows products in your store based on the customer's city.

  1. Turn on the card's switch. By default, the customer's location is detected automatically.

  2. To have customers choose their city themselves, tick Require customer to select city manually.

In your store, customers then choose the country and city they want delivery to, in a window like the one below, and see the products available for that city. Every theme supports this window, and its look depends on the theme.

Personal details are covered.

In some stores, this card instead says "Customer location settings relocated". Manage these settings from the online store settings.

Plans and permissions

The number of active locations depends on your plan, and the page shows your limit. In the Professional plan you can activate 5 locations, plus one more for each Zid POS device you activate. The Enterprise plan has no limit. Withdrawal priority, stock management, stock history, stock taking, transfer requests, auto restock and store pickup are each part of selected plans, and showing products by the customer's city is part of the Professional plan. When your plan doesn't include one of these features, its button opens an upgrade offer. See Subscription.

Staff need the permission to view inventory locations to open this page, and the permission to manage inventory addresses to add or edit a location. The History button needs the permission to view the quantity modification record. See Staff groups.

Inventory pages don't appear in the menu of non-profit (NGO) stores.
